Tips for best results

Electronic signatures

Visual e-signatures are widely accepted for everyday agreements in many countries. Some documents, such as certain legal or government filings, may require certificate-based digital signatures – check local rules when in doubt.

Signing on a phone

Draw your signature with a finger, place it on the right page and resize it to fit the signature line.

Sign a PDF in under a minute – privately

Whether it is a rental agreement, an offer letter, a school permission slip or a supplier contract, signing used to mean print, sign, scan. With Fileopia you add your signature straight onto the PDF in your browser. The document is never uploaded, there is no account to create, and you do not need to send the file to yourself through an e-signature platform.

It also means there is nothing to wait for. Large scanned contracts open instantly, signing works on a train or plane with no connection once the page has loaded, and you can sign as many documents as you like in a day. There are no credits, no free-trial countdown and no prompts to create an account before you can download your own signed file.

How to sign a PDF

Electronic signature vs digital signature

These two terms are often confused. An electronic signature is any electronic indication that a person agrees to a document – a drawn or typed signature, a scanned image, even ticking a box. That is what this tool creates. In many countries electronic signatures are legally recognised for most everyday agreements: in the United States under the ESIGN Act and UETA, and in the European Union as 'simple electronic signatures' under the eIDAS regulation.

A digital signature is a specific technology: a cryptographic seal based on a certificate issued to you, which proves who signed and that the file has not been changed since. Some documents – certain government filings, notarised deeds or 'qualified' signatures under eIDAS – require that level. If a recipient specifically asks for a certificate-based digital signature, use the tool or service they specify.

This is general information, not legal advice. Check requirements for important contracts in your country.

What makes a signed PDF more trustworthy

Uploading a signature photo

Sign your name on plain white paper with a dark pen, take a well-lit photo or scan, and upload it. The tool removes the white background so only the ink remains, then you can scale it to fit the signature line. For a reusable transparent PNG you can also use our Signature Maker.

Why signing locally matters

Documents you sign are among the most sensitive you handle – they contain names, addresses, salaries, bank details and identity numbers. Online signing services typically upload the file to their servers. Here, the PDF, your signature image and the result stay on your device the whole time. The optional saved signature lives only in your browser's local storage and can be removed by unticking the option or clearing site data.

Common uses

Signing on a phone or tablet

Signing with a finger often looks more natural than with a mouse. Open the PDF on your phone, choose Draw, and sign in the box – the stroke is smoothed so it looks like ink. Then tap the page where the signature belongs. On an iPad or Android tablet with a stylus the result is practically identical to pen on paper. The signed PDF downloads to your Files or Downloads folder, ready to attach to an e-mail or upload to a portal.

Typed, drawn or uploaded – which looks best?

MethodBest when
DrawYou want a natural, handwritten look and have a touch screen or trackpad
TypeYou need something neat and quick, e.g. for internal approvals
UploadYou want your exact pen signature on every document

All three are equally valid as electronic signatures. Pick whichever you are comfortable with and use it consistently, so your signature is recognisable across documents.

Signing documents for other people

This tool is designed for you to sign a document yourself. If several people must sign, each person can open the PDF, add their signature and pass the file on – the earlier signatures are preserved because they are written into the page. For forms with labelled fields, try Fill PDF Form first to type in names and addresses, then sign. When a document has to go through a formal workflow with audit trails, reminders and certificates, a dedicated e-signature platform chosen by the organisation requesting the signature is the right choice.
